Conversation Interface
The Conversation Interface is the core feature of EntryChat. Instead of navigating to a separate dashboard, EntryChat injects a powerful, live conversation UI directly into the entry viewing pages of your form plugins (e.g., Contact Form 7, WPForms, Fluent Forms, etc.).
This allows you to view the user’s submitted data alongside your complete conversation history.
Step 1 – Accessing the Conversation
- Navigate to your respective form plugin’s Entries or Submissions page (e.g., WPForms → Entries, or Fluent Forms → Entries).
- Click to view a specific entry.
- You will see the EntryChat UI rendered directly alongside or below the user’s submitted form data.

Step 2 – Conversation Tabs
The interface is divided into several powerful channels. The default channel will auto-select based on whether the user provided an email or a phone number.
- Email Conversation: View the full email history with the user (synced via IMAP) and send new emails directly from the dashboard.
- SMS Conversation: View text messages (synced via Twilio) and send manual SMS replies.
- Internal Notes: Leave private notes for yourself or your team members. These notes are completely hidden from the customer.
- Files: View any attachments or files exchanged during the conversation.

Step 3 – Replying to the User
When typing a reply in the Email or SMS tabs, you have advanced tools at your disposal:
- Saved Replies: Click the dropdown above the text editor to instantly insert any of the templates you created in the Saved Replies menu.
- Attachments: Use the attachment button to upload and send files from your WordPress media library.
- AI Handoff: If AI Auto Reply is enabled but you step in to manually reply, the system will automatically pause the AI for this specific conversation, ensuring the bot doesn’t interfere with your human communication. You can re-enable the AI from the sidebar if needed.

Step 4 – Managing the Conversation (Sidebar)
On the side of the chat interface, you have access to crucial metadata for team collaboration and administrative tools:
- Assigned To: Assign the conversation to a specific WordPress user/team member.
- Priority: Mark the conversation as
NORMAL,HIGH, orURGENT. - Status: Track the lifecycle of the inquiry by updating the status (e.g.,
NEW,OPEN,RESOLVED,CLOSED). - Export Chat: Download a complete transcript of the conversation history. Click this button to generate and download a Zip file containing the chat records.
